Opportunity Details

The administrative assistant will assist in the coordination of office activities and operations while providing clerical and administrative support to senior and executive level management.


  • Provide administrative support to a senior group or executive including answering telephones, scheduling conference calls, luncheons, etc.
  • Completes a broad variety of administrative tasks for the CFO, CHRO, and other C-level executives including answering telephones, scheduling conference calls, scheduling luncheons, etc. managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, creating itineraries and agendas; and compiling documents for committee meetings.
  • Maintain detailed calendars and prioritize meeting requests and logistics. Arrange all aspects of travel.
  • Interact with clients, co-workers and the general public in a professional and effective manner.
  • Coordinate day-to-day administrative activities, necessary office functions, and ensure that administrative support concerns are handled efficiently.
  • Prepare and distribute memos, letters, faxes, reports, meeting minutes and other documents as requested.
  • Assists with overseeing that all office equipment is fully operational and keeping office supply inventory stocked.
  • Assist with special projects and any additional needs of all divisions of Administration
  • Provide coverage at reception desk as needed.
  • Perform other related duties as requested.


  • Associates degree required; Bachelors’ degree preferred
  • At least three years of strong experience supporting C-level executives is required Proficient use of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) required.
  • Attention to detail. Ability to maintain high standards despite pressing deadlines.
  • Excellent verbal and written communication skills
  • Strong initiative with a great sense of anticipation
  • Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment.
  • Must be able to prioritize a variety of time sensitive tasks. Consistently display the highest degree of integrity, professionalism, confidentiality, diplomacy and discretion.


Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift 15 pounds at times
